Terms and Conditions

Hilbas Tours Limited, the team are deeply thankful to all those who have chosen the company as your preferred travel agency. The company is registered with the Tanzanian Government and located in Moshi Kilimanjaro Tanzania.

Please read the Terms and Conditions carefully and understand them before booking a trip with us, as they contain information about Bookings, Cancellations, Payments, and Refunds.

We are committed to offering expert advice and all our trips can be customized to your specifications. This is based on time, financial plan, physical capacity, age etc.

Booking Conditions

For reservations and other travel expenses, the deposit payment will be 30% of all costs. Full payment must be paid 45 days before the tour begins unless otherwise agreed with our consultant in writing.

Acceptance of booking:

If we accept your booking, we will confirm it by the same communication methods (email communication unless otherwise communicated by different means). Once payment is made, please send us proof of payment as soon as possible.

Payment Option and Method:

US Dollars or Tanzania Shillings are accepted (US Dollar notes dated, issued and printed from 2006 and onwards).

We accept credit cards, or debit cards for booking deposits. If you wish to pay by Credit or Debit card, you will be charged a 4% processing fee.

Guaranteed departures

Since we made your trip reservation for the date of departure, we won’t cancel the trip even if there were fewer clients in your group.

 Itinerary Change

You can change your itinerary for free if it doesn’t incur any costs on the part of the company. After confirming your booking, the price will not change except for the Tanzania tariff change.

Accommodations

You will stay in a twin/double room at the hotel or tent on the mountain with a fellow traveller of the same gender. If you prefer to stay alone in a tent or room, please inform our consultants and there will be an extra charge.

Cancellation Policy

Any cancellation by a client must be made in writing and acknowledged by the company. The date on which a cancellation request is received by us will determine the cancellation charges applicable which are as follows:

A) In 90 days, free cancellation except for bank charges of 4% of all costs.

B) 60 days before the tour schedule, a 10% penalty will be applied and 4% of all expenses will be charged as bank charges.

C) 30 days before the tour schedule, a 50% penalty will be applied and 4% of all costs will be charged by the bank.

D) Bookings cancelled 14-0 days before arrival will attract a 100% cancellation fee.

Note: In case of unforeseen circumstances such as natural disasters, adverse weather or political instability, the company reserves the right to cancel a trip. The company will suggest another trip at a similar price and according to the client’s preference. If a client cancels the trip, the company will follow the same cancellation policy.

Updated Terms and conditions:

Hilbas Tours Limited. Reserve the right to update and amend these terms and conditions at any time. It is the Client’s responsibility to keep updated. The current version of terms and conditions will always be found on the website https://hilbastours.com/

Privacy Policy

During the trip booking process, we ask you any questions to collect the necessary information from you. This is to obtain permits and arrange your trip. No private or personal information will be used elsewhere, for other purposes nor disclosed to third parties.
